Transitions Students to Residency

With MedHub’s unique approach to GME and UME interoperability, MedHub enables sharing resources across your medical school and residency programs.

Some of the unique benefits of residency sharing functionality in MedHub include:

  • Shared faculty – all of the faculty members that evaluate both your residents and students only have one login to remember, one evaluation list to work off of and a single source of performance data for any learners they are mentoring.
  • Shared scheduling activities – with the ability to link scheduling activities across the courses and residency programs, evaluations can be automatically matched and delivered with half the effort.
  • Resident transitions – for the students that matriculate directly into one of your institution’s residency programs, you can run MedHub’s residency transition wizard to bring all of the student demographic and enrollment data directly into their residency profile.
  • Consolidated support – by sharing a single instance, any IT or support resources that interact with both the medical school and GME office can oversee a single area of support requests to and from MedHub.
  • Shared content – reduce redundant content creation across courses and residency programs by sharing evaluation forms, learning modules and examinations with other MedHub clients.

Measure Personnel Performance

Drive the highest possible outcome by delivering the right evaluations to the right people with one of the most robust evaluation creation and delivery modules available.

A system that casts a wide net by delivering multiple evaluations in hopes that a percentage of them reach the intended target, is a poorly designed system. The result is faculty frustration with a system that delivers evaluations of students they never saw. This leads to low outcomes and faculty resistance to log in to the system at all.

MedHub employs multiple methods of evaluation delivery that result in highly accurate delivery by schedule. Accurate evaluation delivery, in turn, builds confidence in the system delivering them and drives outcomes higher because users are not wasting their time deleting improperly delivered evaluations that do not apply.

Evaluation Creation

Not only are evaluations simple to create in MedHub, the flexibility with which options can be added makes any form extremely powerful. MedHub has a standard “library” of answer types ranging from Likert scales, true/false, yes/no, short answer, comments, long answer, etc. Any scale not part of that list can be easily added and even limited to the course using it.

Questions can be tagged as required or elective. Low score thresholds can be automatically set up for single, multiple or all questions within a form that will automatically generate an alert to the coordinator, clerkship director and/or student advisor. Forms once created, can be “shared” with other courses.

Some of the evaluation creation features include:

  • Simple-to-use evaluation creation “wizard”
  • Standard evaluation forms support
  • 12 different evaluation types including patient evaluations of faculty/resident/student and self evaluations
  • Setting for faculty or students to initiate on-the-fly evaluations
  • Ability to quickly duplicate and archive forms
  • Function to add descriptions across all points on a Likert scale
  • Formatting functions to control appearance of form
  • Preview form functionality allows easy viewing of forms as they are created
  • Associate curricula/files to evaluation forms
  • Flexible numbering of form questions (1, 2, 3 – a, b, c – i, ii, iii, etc.)
  • Flexibility to insert headers/introductory text above blocks of questions
  • Ability to map UME courses to GME residency programs/services

Evaluation Delivery

  • Deliver evaluations “by individual”
  • Enable composite evaluation delivery
  • Fully schedule faculty to the rotation and clinic level for accurate evaluation delivery
  • Enable fully automated evaluations to follow multiple delivery rules and/or schedule evaluation delivery in advance to automatically occur on a specific date.
  • Require electronic signatures upon evaluation completion
  • Automatically deliver a procedure evaluation to the attending present
  • Quickly deliver conference evaluations based upon conference attendance (trainees or faculty).

(Evaluation Delivery cont.)

  • Make an evaluation anonymous upon completion
  • Force a reciprocal evaluation completed by student of faculty before the student can view their completed performance evaluation of student by faculty
  • Deliver evaluations to “outside” recipients such as a faculty member responsible for training a student during an elective rotation without the need for a MedHub profile/login
  • Easily setup low score alerts and notify coordinator and/or Clerkship Director and require comments on specific low scores.
  • Easy match evaluations and a confirmation screen prior to delivery
  • Send automatic late evaluation reminders
  • Define a rotation period, service group or add notes to outgoing evaluations
  • Disable “insufficient contact to evaluate” link or notify coordinator when used
  • Multiple institution specific and course specific evaluation settings
  • “Reset” and re-deliver completed forms

Evaluation Reporting

Student and faculty can view aggregate evaluation results and all self-initiated completed evaluations
Robust filtering options for coordinators to access completed evaluations, with single and batch printing options for completed evaluations

  • Full export of evaluation data to Excel, comma, pipe and tab delimited format
  • All evaluations feature robust search capabilities and include:
    • Evaluations by competency reports – students can also view links to original questions
    • Evaluation trend report – shows improvement or lack thereof over time
    • Evaluation completion history report
    • Evaluation delivery history report
    • Evaluator scoring averages report
    • Student/Faculty ranking report
    • Aggregate evaluation reports
    • Graphical Evaluation live charts

Evaluation – Institutional Settings

  • Ability for GME & UME administrators to send out institution-wide evaluations
  • Ability to have standardized institutional questions merged with course specific questions

Procedures

Ensure students are being exposed to diverse disease states and patient demographics by capturing requirements through procedure and diagnosis logging.

  • Customized procedure and diagnosis lists
  • Track custom fields and requirements
  • Set logging minimums by type
  • Report on completion by level

Track Student Requirements

Transcend rote documentation of procedures logged with the MedHub procedure module.

MedHub tracks course-specific procedure requirements, then displays a student’s progress toward meeting those requirements – in real time – to students, coordinators, faculty mentors and course directors.

Procedure Management:

  • Flexible settings establish procedure requirements and can be parsed by procedure, and/or level of participation in the procedure (primary performed, assisted, observed).
  • Global verification of primary performed procedures by attending present.
  • Index procedures on patient ID, Date, Procedure, Diagnosis, Role, etc.
  • Reorder procedures so they are displayed/listed as required by the program.
  • Associate CPT (Common Procedural Terminology) and ICD-9 codes with procedures.
  • Procedure lists are specific to course.
  • Initially populate clerkship specific procedures from an Excel spreadsheet.
  • Send attending faculty an evaluation of the procedure performed.

Procedure Management from the Student Point of View:

  • Students have real time access to all of their procedures logged.
  • Students have real time access to procedure requirements and percentage of total toward meeting clerkship-specific requirements.
  • Students have access to graphical live charts.

Procedure Reporting:
